Corporate Team Outing at a Farmhouse: A Planner for HR and Team Leads

· 5 min read· by Farmhouses Hyderabad Team

The farmhouse at RK Grove, Moinabad

A practical planner for HR teams and managers taking their team to a private farmhouse near Hyderabad, from approvals and transport to the agenda on the day.

A corporate team outing at a farmhouse near Hyderabad gives your team something an office party or a mall venue can't: a private, open space where people actually talk to each other, play together and come back on Monday knowing their colleagues a little better. For HR and team leads, it is also refreshingly simple to run, provided you plan the approvals, transport and agenda properly.

Use this as a working planner. It is arranged by week so you can drop the items straight into your project tracker.

Why teams choose a farmhouse over a hotel or resort

  • Exclusive use. The pool, lawns and rooms are only for your team, so there are no other guests to manage around.
  • Flexible format. A morning session in the hall or on the lawn, sports in the afternoon, dinner under the lights.
  • Food your way. Many farmhouses allow caterers, a hired cook or a BBQ setup, which helps with dietary variety.
  • Close to the IT corridors. Several farmhouse areas sit within an hour of Gachibowli, HITEC City and the Financial District.

You can see suitable properties on our corporate outing farmhouses page.

Four weeks out: scope and approvals

  1. Define the purpose. Celebration, team bonding, a planning offsite, or a mix? This decides whether you need a quiet room and a screen or just a lawn and a cricket box.
  2. Get the headcount and budget approved. Note the per-head limit and what it must cover: venue, food, transport, activities.
  3. Check company policy on alcohol, travel outside city limits, overnight stays and mixed-team accommodation.
  4. Pick a date. Weekdays are usually easier to book and gentler on price than weekends, and many teams prefer an outing that doesn't eat into their Saturday.

Three weeks out: choose and book the farmhouse

Shortlist two or three properties and ask the host these questions before booking:

  • What is the maximum number of guests for day use and for an overnight stay?
  • Is there a covered area, hall or large verandah in case of rain or harsh sun?
  • Is there power backup and a sound system, or can we bring a projector and speaker?
  • Can we bring a caterer or decorator, and is there a kitchen they can use?
  • What are the security deposit, payment schedule and cancellation terms?
  • Can the host provide a proper bill or invoice for reimbursement?

Rules on music, alcohol, outside vendors and extra guests vary by farmhouse, so get the answers in writing on WhatsApp. If your headcount is above 30, read our guide on planning farmhouses for large groups.

Two weeks out: transport, food and activities

Transport

A hired bus or tempo traveller from the office keeps everyone together and removes the drink-driving risk entirely. For teams based in Gachibowli and the Financial District, farmhouses near Gachibowli in the Moinabad and Shankarpally belt mean a short ride. Teams with colleagues flying in, or based on the south side, can look at Shamshabad farmhouses near the airport and ORR.

Food

Collect dietary needs in a form: vegetarian, Jain, egg-free, allergies. Plan a welcome drink and snack, a lunch buffet, evening chai and, for overnight outings, dinner and breakfast. Our menu ideas for a large group help with quantities.

Activities

Mix active and low-key options so nobody feels left out: box cricket, a tug of war, a pool relay, a quiz, and an icebreaker that pairs people from different teams. For a ready list, see team-building games at a farmhouse.

Turning it into an overnight offsite

If the goal is planning or strategy rather than pure fun, an overnight format works better. Hold the working session in the morning when heads are fresh, keep the afternoon for games and the pool, and let the evening be informal: a BBQ, a bonfire if the host permits it, music within the allowed hours. Check the number of beds and bathrooms carefully, agree on room allocation in advance so nobody is surprised, and confirm the check-out time so the bus can be scheduled. Senior leaders staying the night and joining the games tends to lift the mood more than any speech.

One week out: safety and communication

  • Send an invite with timings, dress code, what to bring (swimwear, cap, sunscreen, ID) and the bus pickup point.
  • Assign a pool safety person; not everyone swims well, and a pool is no place for a dare.
  • Carry a first-aid kit and note the nearest hospital on the route.
  • If alcohol is part of the plan and company policy allows it, keep it moderate, follow the host's rules, and remember that serving alcohol at events may need permissions under local rules.
  • Share a single contact number for the day.

On the day and after

Arrive a little early to walk the property with the caretaker and agree on where food, games and seating go. At the end, do a quick sweep for bottles, bags and lost phones before the bus leaves. Within a week, send a short feedback form; it makes the next outing even better and gives you data for the next budget request.

Tip for managers: keep the speeches short. The value of an offsite comes from the conversations people have when there's no agenda.
