Booking a farmhouse for someone else is easy; making sure their day goes smoothly when you are not there is the real job. Whether it is a gift for your parents, a surprise for a friend or a day out for your team, the booker needs to hand over three things clearly: the booking details, the house rules and a contact person on the day.

Here is how to book a farmhouse in Hyderabad on someone else's behalf without leaving them confused at the gate.

A gift for parents or grandparents

You live in Bengaluru or abroad, and want your parents to have a peaceful day or night out with relatives for their anniversary. You pay, but they arrive. Whose Name and Number Goes on the Booking?

This is the question most people get wrong. The farmhouse will contact whoever is on the booking. If that is you, but you are 600 km away, the caretaker's "we have reached the gate, where are you?" call comes to you.

When you book, mention the day-of contact's name and phone number in your booking request or WhatsApp confirmation. Some farmhouses may ask the arriving guest for an ID at check-in; the requirement varies by farmhouse, so ask in advance and tell the guest to carry one.

What to Send the Guests After You Book

Put everything into one clear message they can forward to the rest of their group:

• Farmhouse name and location pin, plus the area name (for example, Moinabad or Shamirpet) so drivers know the direction.
• Date, check-in and check-out time. Arriving late does not usually extend the slot.
• Guest count booked. If more people turn up, extra-guest charges may apply depending on the farmhouse.
• Key house rules: music timings, outside food, alcohol, decorations, pets and pool timings. These vary by farmhouse, so copy them from the farmhouse page.
• Deposit details: whether a refundable deposit is collected at check-in, and who pays it.
• Caretaker's number and your own, in case something goes wrong.

For parents, a short phone call explaining the plan works better than a long message. For a team, pin the message in the group.

Payments When You Are Not Present

Decide in advance who pays what, so nobody is surprised at the gate:

• The rent: usually paid by you at booking.
• Any balance, deposit or extras due on the day: either you transfer it beforehand, or the guests pay and you reimburse them.
• Food: if the farmhouse arranges meals, or if you are ordering a caterer, settle who pays and when.

Tell the guests clearly: "Everything is paid except the deposit" or "The deposit is paid, nothing to pay at the gate". Ambiguity is what causes awkward calls.

Choosing the Farmhouse for Someone Else's Needs

It is tempting to pick the place you would like. Instead, pick for the people going:

• Parents and elders: short drive, ground-floor bedrooms, shade, a caretaker on site and calm surroundings.
• Families with children: a kids' pool or shallow end and a fenced lawn. Browse kids-friendly farmhouses.
• Young friends: pool, box cricket and a music system, and check the music timings carefully.
• Teams: seating for a short session, decent mobile signal and parking for many cars.

Pick the area that is easiest for them to reach, not for you. If your parents live in Secunderabad, a north-side farmhouse is far kinder than one across the city.

If the Plan Changes

When you book for others, you also own the cancellation.
