What Does a Farmhouse Caretaker Do? What to Expect and Ask
· 5 min read· by Farmhouses Hyderabad Team

The caretaker hands over the farmhouse and knows how everything works. Here is what to expect, what to ask and what is up to you.
A farmhouse caretaker is the person who looks after the property and hands it over to your group: opening the gate, showing you around, explaining the pool, power and house rules, and checking everything at check-out. Most farmhouses near Hyderabad have a caretaker on site or nearby. What they do beyond that, such as cooking, helping with a BBQ or cleaning during your stay, varies by farmhouse, so it is worth asking before you arrive.
Here is what to expect from a caretaker, what not to expect, and the questions that make your day smoother.
What a Caretaker Usually Does
Every farmhouse is different, but most caretakers handle these basics:
- Welcome and check-in: opening the gate, showing parking, and sometimes collecting the security deposit or checking guest count.
- A walk-through: where the bedrooms, washrooms, kitchen and switches are, and how the pool area works.
- Pool upkeep: keeping the pool cleaned and filled before you arrive.
- Power and water: switching on the backup during a cut, and managing the water supply.
- Explaining house rules: music timings, areas that are out of bounds, and what not to do in the pool.
- Check-out: a quick look around before you leave, and the deposit conversation if anything is damaged.

What Some Caretakers Also Do (Ask First)
Many caretakers can help with extras, but these depend on the farmhouse and are sometimes chargeable:
| Extra help | What to ask |
|---|---|
| Cooking | "Can someone cook for us? Do we bring groceries, and is there a charge?" |
| BBQ or bonfire setup | "Is the grill available, and can you help light it? Do we bring charcoal or firewood?" |
| Fetching supplies | "Is there a shop nearby for ice, water cans or milk?" |
| Cleaning during the stay | "Will the washrooms be cleaned if we stay overnight?" |
| Help with decorations | "Can we tie balloons or lights here, and can you help with a ladder?" |
Ask these on WhatsApp when you book, not when you arrive. If a farmhouse arranges food through the caretaker, it is useful to know before you place an outside order.
What a Caretaker Is Not
Clear expectations prevent disappointment on both sides. A caretaker is not:
- A lifeguard. Even if they are near the pool, your group is responsible for supervising swimmers, especially children. Assign adults to watch the pool at all times. Our pool safety guide for parents covers this properly.
- A security guard for your valuables. Keep phones, jewellery and wallets with you or locked in a room.
- A bartender or waiter. Unless the farmhouse offers service, plan to serve yourselves.
- The person who sets prices. Rates, extensions and refunds go through the booking, not a verbal deal at the gate.
Questions to Ask the Caretaker on Arrival
Spend five minutes on a walk-through before anyone jumps in the pool. Ask:
- What is the pool depth at each end, and are there any rules for the pool?
- Where are the main switch, the backup, and the pool lights?
- What are the music timings, and is there a volume limit for the neighbours?
- Which rooms and areas are we using, and are any locked?
- Is drinking water available, or should we buy cans?
- Where should we put garbage?
- What is your number, and where will you be during our stay?
Point out anything already broken or stained and take a quick photo. It keeps the check-out conversation simple and fair.
Being a Good Guest to the Caretaker
The caretaker often lives on or near the property and looks after a new group every day. A little courtesy goes a long way:
- Arrive within your check-in time and tell them if you are running late.
- Do not ask them to break house rules, such as extending music timings or letting in extra guests quietly.
- Offer a plate of food if you have plenty; it is a kind gesture many groups make.
- A tip is optional, but appreciated if they helped with cooking, a BBQ or cleaning up after a big party.
- Leave the place reasonably tidy: bag the garbage, clear the pool deck and switch off lights and AC.

Overnight Stays: What Changes at Night
On a night stay, the caretaker's role matters more. After dark, you may need help with a tripped switch, a water motor, a stuck gate or a bonfire that needs putting out. Before the caretaker retires for the night, confirm where they will be and whether you can call them late. Ask which outdoor lights stay on, whether the gate is locked at night, and what time they will be around in the morning. If anyone in your group has a medical condition, share that quietly with the caretaker and ask where the nearest clinic is.
When Something Goes Wrong
If the pool is not clean, a room's AC is not working or the power backup fails, tell the caretaker first; most small issues are fixed quickly. If it is something they cannot solve, contact the booking support number or reach us through our contact page and share photos. Raise problems during the stay, not days later, so they can be addressed while you are still there.
Why the Caretaker Matters When You Choose a Farmhouse
A caretaker on site matters most for families with kids, elders and overnight stays, when someone who knows the property can help at night. If that is your group, look at kids-friendly farmhouses or farmhouses for a night stay, and confirm on WhatsApp whether the caretaker stays on the property.
